Position Overview We’re looking for a highly organized and agile Executive Assistant & Admin Support to provide comprehensive support to the senior executives across various functions at Otis China. This role goes beyond traditional executive assistance to include active involvement in Admin projects and initiatives, requiring strong coordination skills and a proactive mindset.
The ideal candidate will thrive in a fast-paced environment, be comfortable handling confidential information, and be adept at managing shifting priorities. This position also supports alignment across business units through effective communication, documentation and milestone tracking.
Roles & Responsibilities
A. Executive Support
Provide daily administrative support to several executives, including complex calendar and schedule management, meeting coordination, travel arrangements and expense processing.
Anticipate needs and prepare high-quality materials including meeting minutes, reports and presentations.
Ensure timely follow-up on key deliverables and action items.
Handle highly confidential and time-sensitive information with professionalism and discretion.
Act as liaison between executives and internal/external stakeholders to ensure smooth communication and timely follow-up.
Support other ad-hoc tasks assigned by executives.
Provide back-up assistance to other Executive Assistants as needed.
B. Project Coordination
Collaborate with Office Manager to coordinate and follow up on site-level or company-wide projects/events.
Assist with tracking project progress, scheduling meetings and recording action.
Coordinate resources and logistics to support project execution.
Help ensure deliverables are implemented on time, within scope and aligned with operational goals.
Take primary responsibility for showroom visitor reception, ensuring all guests receive a professional, welcoming, and high-quality experience
Admin work support and other tasks assigned by Office Manager.
Requirements
Bachelor’s degree or equivalent in Administration, Finance or relevant field from a reputable university.
3 years of experience in an administrative or assistant role.
Thorough knowledge of office equipment, proficiency in MS Office.
Excellent organizational and time management skills.
Experience in a fast-paced company.
Proven ability to communicate effectively with a variety of groups including internal and external peers, partners and senior leadership.
